Position: Executive Assistant/Business Manager
Location: Remote contract work from home position. Ideally Melbourne or Brisbane, approx 20 hours pw.
Reports to: Australian based business coach to female Business to Business (B2B) thought leaders consultants and advisors.
About me: I have been a business coach for 16 years and I’m dedicated to helping female thought leaders working in the B2B space to grow their practices. My work involves client engagement, travel, and a dynamic schedule that requires exceptional organisational and communication skills.
Position Overview: I’m seeking an experienced and highly organised Executive Assistant/Business Operations Manager to support her in managing a hectic schedule, co-ordinating travel, building and maintaining client relationships, and ensuring smooth business operations. The ideal candidate will be customer-centric, an excellent communicator, and adept at handling multiple tasks efficiently. They also need to be able to engage with an offshore team who support projects in the business.
Key Responsibilities:
Schedule Management:
Proactively manage the thought leader’s calendar, scheduling appointments, managing workload, meetings, reminders and events.
Prioritise and coordinate activities to ensure optimal time management.
Travel Coordination:
Arrange complex travel itineraries, including flights, accommodation and transportation.
Prepare detailed travel schedules and manage any changes or disruptions.
Client Relationship Management:
Proactively build and maintain strong relationships with clients including speaker bureaus, ensuring a high level of customer satisfaction and CRM management.
Act as a primary point of contact for clients and team, addressing inquiries and concerns promptly.
Administrative Support:
Handle day-to-day administrative tasks, invoices, including email correspondence, document preparation, daily, weekly and quarterly reporting and file management.
Assist with project management and follow-up on tasks to ensure timely completion.
Communication:
Draft and edit communications, including emails, reports, weekly newsletter and website updates.
Coordinate with internal and external stakeholders to facilitate smooth communication and collaboration.
Project and Event Coordination:
Organise and manage events, workshops, client coaching programs and speaking engagements.
Ensure all logistical aspects of events are handled efficiently.
Keep across the projects the team are managing, ensuring status updates are done, leasing with the agency and answering questions.
Experience and Skills:
Proven experience as an Executive Assistant or Business Manager, preferably supporting senior executives.
Excellent organisational and time-management skills.
Strong interpersonal and relationship-building abilities.
Exceptional communication skills, both written and verbal.
Experience in managing complex travel arrangements.
Ability to work independently and handle multiple priorities.
Proficiency in Google Suite, Zoho CRM, Asana, Linkedin, Zoom, Kajabi and Wordpress
